How it works
You sell a deal on Groupon, Wowcher or another site. The customer books on your own site with their voucher code. You check the code on that site, and redeem it there after the visit. HQ keeps track of every voucher and reminds you; it never redeems one for you.
Vouchers are in every package, with no extra module. You’ll find them in HQ under Vouchers.
Add a deal
Add one deal for each voucher you sell. Only owners and admins can add or change deals.
- Go to Vouchers → Deals and choose “Add a deal”.
- Under “Sold on”, choose Groupon, Wowcher, Treatwell or ClassPass. For any other site, choose “Another site” and type its name.
- Give the deal its name as the site sold it, for example “Cut and finish with a senior stylist”.
- Choose what it covers: one visit for one service, a bundle (one visit for each of several services), or a pack of 2 to 50 visits of any of the services you tick.
- Enter what you’re paid per voucher, after the site’s cut. Reports use this figure. What customers paid is optional and for your reference only.
- Add the last day it can be used, if there is one. Visits after that day can’t be booked with it.
- Check “Where you check and redeem codes”. We fill in the site’s usual address for merchants; change it if yours is different.
- Tick “Customers must enter a security code too” if the site gives each voucher one. Choose Save.
Tip: Want only the codes you’ve imported? Tick “Only accept codes we’ve imported”. A code you haven’t imported is then turned away instead of waiting for you to check it.
Give the site your booking link
- Each deal’s card shows its booking link, with Copy. It opens your site’s Redeem a voucher page with that deal already chosen.
- Open “Text to paste into the deal’s ‘how to redeem’” and copy it into the deal on Groupon or Wowcher. It tells customers how to book and asks them not to redeem the voucher themselves.
- While you have a deal switched on, “Redeem a voucher” shows in your site’s menu and footer.
What your customer sees
- On Redeem a voucher, they choose the deal (if you have more than one), type their code and, if needed, the security code, and press Check voucher.
- They choose a time from the services the deal covers, then enter their details.
- They press Book with my voucher. There’s no card step.
If you imported the code, the booking is confirmed straight away. If not, they see “Booked: waiting for us to check your voucher”. The slot is held for them and they get one email saying you’ll confirm once you’ve checked it.
In your normal booking form, “Paying with a Groupon, Wowcher or other voucher?” appears next to “Have a code?” whenever a deal covers the chosen service. A voucher can’t be combined with a discount code, gift card or reward.
A pack or bundle keeps track of visits left. A signed-in customer sees them under Your vouchers in their account.
Import the site’s list of codes
Download your sold vouchers from the site and add them to the deal. A customer who enters an imported code is confirmed at once, with nothing for you to check.
- On the deal’s card, choose Import codes.
- Paste the codes, one per line or separated by commas. To add a security code or a last day, put them on the code’s line after a comma: code, security code, date. Or choose “Upload a CSV file” (a spreadsheet saved as CSV): we find the code, security code and expiry columns by their names.
- Choose Import. Up to 5,000 codes at a time.
The result says how many new codes were added, which were already imported, which a customer had already entered (those are marked valid and their bookings confirmed), and each line we couldn’t use, with the reason.
Tip: Imported the wrong file? Under Imports, Undo takes that import’s codes back out. Codes customers have already used stay.
Switching a deal off
- Switch off stops new bookings with the deal. Vouchers customers have already entered still work.
- A deal can be deleted only while no voucher has used it.
- Once codes are in, the site a deal was sold on can’t change. Make a new deal instead.
Vouchers taken by phone or at the desk
Choose “Add a voucher” at the top of Vouchers, enter the customer and the code, then choose “Book a visit”. On an existing booking, open it and choose “Pay with a voucher”.
