Erasing a client

A client can ask for a copy of everything you hold about them, or for it to be erased. How to do both in HQ, and what stays.

Giving a client a copy of their data

A client can ask what you hold about them, and you must reply within a month. Only the owner can make the copy.

  1. Open the client, expand “Their data” at the bottom of the page, and choose “Download a copy (JSON)”. Or open Your data under Admin and use “Everything we hold on one client”.
  2. Send the file to the client through a channel you trust.

The file holds their profile, bookings, payments, memberships, every note about them including Only me notes, their health notes, their connections and any briefs. Someone they mentioned who is not your client is shown as “[another person]”, and no other client is named.

Erasing their details

  1. Cancel any upcoming bookings and stop any live membership first; HQ lists what is in the way.
  2. Open the client, expand “Their data”, choose “Erase their details…” and confirm.

Erasure is immediate and cannot be undone. Their name and contact details are removed; their past bookings and payments stay as anonymous records because the accounts need them. Their notes, connections, briefs and any unconfirmed voice cards about them are removed too.

Tip: Deleting a client from the Customers page is different: that is a normal delete, undoable from the Bin for 30 days.
