Voice notes

Hold the mic, say what happened, check the card, save. How speech becomes notes, bookings and connections, and what is never saved.

Recording a note

  1. Tap the microphone at the bottom of any HQ page. Hold it to talk, or tap once to start and once to stop. On a keyboard, press Space or Enter.
  2. Say it as you would to a colleague: “Jenna’s in again Tuesday at 11, and her daughter’s just started at Bournemouth.”
  3. Let go. Within a few seconds a card opens with what Rapport understood, one line per thing.
  4. Fix anything that is wrong, answer any question (“Which Jenna?”), then press Save.

A note is two minutes at most. The recording is sent, turned into text, and dropped: the audio is never kept.

What a voice note can do

  • Add a note to a client, Team or Only me.
  • Book, move or cancel an appointment.
  • Add something to your life lane (“School pickup is 3:30 on Fridays from now on”).
  • Add a connection: a workplace, a partner’s first name, a trip with its end date.
  • Record an allergy test date.

Dates are worked out by HQ, not guessed by the model: “next Tuesday at 3” becomes a real date and time in your timezone, and you see it on the card before anything is saved.

Health details

If a client mentions a health matter, Rapport takes those words out of the note and asks what to do. Only the owner or an admin can save them, and they go into the client’s health notes, which staff do not see. They are never saved automatically.

When the mic says voice is not available

Voice depends on two services. If either is paused or not set up, the mic says so and typed notes keep working exactly as before. Each business has a monthly allowance of voice notes; when it is used up the mic says so and typed notes carry on.
