Checking and redeeming vouchers

Check each code on the provider’s site, confirm or turn down the booking, and redeem it there after the visit.

Why we never redeem a voucher for you

Venakis doesn’t redeem vouchers on Groupon’s site, or on any other provider’s. You redeem each one there yourself, after the visit, then mark it in HQ. A Groupon redemption can’t be undone, so it should only happen once the customer has been in.

Changing a voucher’s status in HQ never changes anything on the provider’s site.

What each status means

StatusWhat it means
To checkThe customer entered the code and you haven’t checked it yet. Their booking is held as pending.
CheckedYou confirmed it on the provider’s site, or you imported the code. Their booking is confirmed.
RedeemedYou redeemed it on the provider’s site after the visit.
Not validThe provider’s site didn’t accept it. You say why.
ExpiredIts last day passed before it paid for a visit.
RefundedThe provider refunded the customer.
CancelledYou cancelled it.

Check a code

  1. Go to Vouchers → To check. The tab shows how many are waiting, and so does the Dashboard.
  2. Each card shows the code with Copy, the provider, the customer, the deal, their next visit, what you’re paid, and when it was entered. Choose “Show security code” if the deal has one. Each look is recorded in Activity.
  3. Choose “Check on Groupon” (or the deal’s provider). Their merchant site opens in a new tab. Look the code up there.
  4. Back in HQ, choose “It’s valid”. Their booking is confirmed and we email the customer.

When a code isn’t valid

  1. Choose “Not valid” and say why, for example “Groupon says it’s already been redeemed”. It’s kept in the voucher’s history.
  2. To cancel their upcoming bookings on the voucher, tick “Also cancel their upcoming bookings on this voucher and email them why”. Otherwise they stay in the diary.

The cancellation email tells the customer we couldn’t confirm their voucher and asks them to contact you if they think that’s wrong. Changed your mind? Choose “Undo the cancellations” on the notice that follows.

Redeem it after the visit

  1. “Redeem after today’s visits” lists each of today’s visits paid by a checked voucher. It’s on Vouchers → To check, on the Dashboard and on Today.
  2. After the visit, choose “Redeem on Groupon” and redeem the code on their site.
  3. Then choose “I’ve redeemed it on Groupon”. The voucher moves to Redeemed.

From 7am on a day with voucher visits, owners get an email listing them, with each code and a link to the provider’s site.

The booking itself shows the same step on the day, so you can redeem from the Calendar too.

Mistakes and expiry

  • Every status except To check can be stepped back, for example “Not redeemed after all” or “It’s valid after all”, from the voucher’s details under All vouchers. This only changes HQ: a voucher you redeemed stays redeemed on the provider’s site.
  • The owner can delete a not valid or cancelled code that’s on no booking, so it can be entered again.
  • After a deal’s or a code’s last day, a voucher that paid for no visit is marked Expired. One that paid for a visit keeps its status, because it still needs redeeming.

Who can do what

  • Staff, admins and the owner can check codes, see security codes, and mark vouchers valid, not valid or redeemed.
  • Admins and the owner manage deals, imports and the report.
  • Cancelling a voucher’s bookings needs permission to manage bookings.

The report

Vouchers → Report (owners and admins) shows bookings and revenue by channel for any range: Direct first, then each provider, for example “Groupon (Vouchers)”. A voucher booking counts what you’re paid, not what the customer paid; a pack’s payout is shared equally across its visits.
